Assistant Registrar -- Multan
Age Limit: 22–30 Years
Qualification
Second Class or above LL.B Degree from a recognized university.
Higher qualifications preferred.
Experience
Prior legal experience.
Familiarity with court proceedings.
Excellent legal drafting skills and English proficiency.
Core Competencies & Key Responsibilities
Assist in scrutiny of harassment and property cases, including Overseas Pakistanis complaints.
Prepare case briefs, record proceedings, and draft findings/orders.
Manage Complaint Management System (CMS), case files, scanning, and notices.
Conduct outreach and training activities.
Handle administrative and financial functions of the Multan office.
Detailed Responsibilities
Case Management & Scrutiny:
Assist the Regional Head Lahore and Registrar Head Office, Islamabad in scrutinizing complete documentation and assessing the maintainability of Women's Harassment and property cases (including complaints from Overseas Pakistanis).
Prepare case briefs and maintain structured case files with proper documentation and indexation according to FOSPAH rules and practices.
Record case proceedings and prepare draft findings and orders.
Assess the vulnerability/needs of complainants and liaise with relevant forums or persons to arrange legal and financial aid.
Digital CMS & Court Registry Functions:
Scan and upload all case documents onto the electronic Complaint Management System (CMS).
Issue notices to involved parties in hard copy as well as digitally through emails and WhatsApp numbers.
Provide requested written copies of documents to concerned parties.
Prepare daily hearing case lists and coordinate with the Assistant Director (IT) for electronic circulation.
Assist the Regional Head and Registrar in managing all Court Registry functions effectively.
Research, Legal Support & Appeals:
Conduct regular research and provide legal input for FOSPAH cases, communication products, and training materials.
Support the Registrar and Law Officer in drafting replies and handling proceedings regarding representations/writs submitted to appellate authorities.
Outreach & Administration:
Conduct in-person and online outreach activities and lead awareness/training programs.
Guide complainants on litigation processes, court procedures, and legal rights.
Handle additional administrative and financial operational duties for the Multan Sub-Regional Office.
Perform any additional tasks assigned by the Regional Head, Registrar, or the Honorable Ombudsperson.
Assistant --Quetta
Age Limit: 22–30 Years
Qualification
Graduate / Second Class Bachelor's Degree / 2-Year BA / Associate Degree.
Advanced degree preferred.
Computer literacy with strong MS Office skills.
Experience
Minimum 3 years of experience in secretariat jobs.
Experience in filing, record keeping, billing/accounting, preferably in the public sector or secretariat setup.
Good typing speed.

Receive, dispatch, process, and track official correspondence ("dak") and files.
Maintain file movements, leave records, and indexing.
Handle official stationery procurement.
Ensure safe custody of confidential/important files.
Handle routine clerical tasks.
Detailed Responsibilities
Mail & File Processing:
Receive, log, and dispatch official mail (dak), files, reports, and communications pertaining to the section/wing.
Perform initial processing of incoming cases/files and present them to the Officer In-charge for consideration.
Prioritize fresh receipts and urgent official communications.
Record Management & Archiving:
Open new files, maintain file movement registers, and track file locations.
Manage official records including recording, indexing, and weeding out obsolete files/documents.
Record and track all important orders, decisions, and instructions.
Apply and manage priority or security labels on confidential files, bringing them to the notice of the Officer In-charge promptly.
Ensure safe custody of critical and confidential official documents.
Secretarial & General Office Administration:
Prepare and maintain official leave records for employees.
Issue follow-up reminders to other offices/departments/agencies regarding delayed replies.
Handle routine clerical tasks, including typing, maintaining diary/dispatch registers, and preparing statements.
Requisition and procure necessary office supplies and stationery for the wing.
Perform any other administrative duties assigned by the Officer In-charge, Regional Head, Registrar, or Honorable Ombudsperson.
